How we handle the information you give us, written in plain English rather than legalese.

Who we are

H A Windows and Doors Ltd ("we", "us") is a company registered in England & Wales, company number 13677383, registered office 187 Westmorland Avenue, Luton, LU3 2PU. We are the data controller for the information described below.

What we collect

When you contact us or ask for a quote, we collect only what we need to do the job:

  • Your name, so we know who we're talking to.
  • Your phone number and email address, so we can reply and arrange a survey.
  • Your postcode and property address, so we can check we cover your area and find the property.
  • Details of the work you want, including product types, quantities, materials, timescales and any notes or photographs you send us.
  • How you heard about us, if you choose to tell us. This is optional and only helps us understand what's working.

We do not ask for and do not want financial details, card numbers or any special category data such as health information. Please don't send them through the website form.

Why we use it, and our lawful basis

Reply to your enquiry and arrange a survey Consent, which you give by ticking the box on the form. You can withdraw it at any time.
Prepare and send your quotation Legitimate interests, and steps taken at your request prior to entering a contract.
Carry out and guarantee the installation Performance of our contract with you.
Register the installation for Building Regulations compliance Legal obligation.
Keep accounting and tax records Legal obligation (HMRC requires six years).
Handle a warranty claim or dispute Legitimate interests, and establishing or defending legal claims.

What we don't do

To be completely clear about this, because the trade has a poor reputation for it:

  • We do not sell, rent or trade your details to anyone. Ever.
  • We do not pass your enquiry to a network of "approved installers" or lead-generation companies.
  • We do not add you to a marketing list because you asked for a quote.
  • We do not cold-call you repeatedly after you've said no thank you.

Who else sees your information

Only where it's necessary to do the work, and only what they need:

  • Our manufacturers and suppliers receive the sizes, colours and specification of your frames. Where possible they receive a job reference rather than your name and address.
  • Delivery drivers receive the delivery address for large or scheduled deliveries.
  • Our IT and email providers host our email and this website, and so process data in the ordinary course of providing that service.
  • Our accountant sees invoices and payment records.
  • Building Control or a competent person scheme receives the property address to register the installation, where that applies.
  • Public authorities, if we are legally required to disclose something.

We keep your data within the UK or European Economic Area wherever we can. If a supplier we use stores data elsewhere, we make sure an appropriate safeguard such as the UK International Data Transfer Agreement is in place.

How long we keep it

  • Enquiries that don't become jobs: up to 12 months, then deleted. Quotes are valid for 60 days but people often come back a few months later.
  • Completed installations: for the length of your guarantee plus one year, so we can honour warranty claims and identify the exact products fitted.
  • Accounting records: six years after the end of the relevant financial year, as HMRC requires.
  • Photographs of completed work: indefinitely if we use them as examples, but never with your name or address attached, and only where you've agreed.

Your rights

Under UK data protection law you can ask us to:

  • Tell you what we hold about you, and give you a copy of it.
  • Correct anything that's wrong or incomplete.
  • Delete it, where we don't have a legal reason to keep it.
  • Restrict or object to how we use it.
  • Transfer it to another provider in a portable format.
  • Withdraw consent at any time, where consent is what we relied on.

Email info@hawindowsanddoors.co.uk and we'll respond within one month, free of charge. We may ask you to confirm your identity first so we don't hand your details to somebody else.

Cookies and analytics

This website sets no cookies and runs no third-party advertising or tracking scripts. There's nothing to consent to, which is why you haven't seen a cookie banner.

Our web host keeps standard server logs, which typically include IP addresses, for security and diagnostics. If we add analytics in future we'll update this page and add a proper consent banner before doing so.

Security

Enquiries submitted through this site are sent over an encrypted HTTPS connection. Access to customer records is limited to the people who need it to do their job. That said, no method of transmission over the internet is completely secure, so please don't send us anything highly sensitive through a web form.

Complaints

If you're unhappy with how we've handled your data, please tell us first — we'd rather put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
